Template Project

During my time at Guild, I was tasked with creating a template for the Learning Designers to use during their needs analysis. The legacy process was not defined, so each Learning Designer conducted kick off meetings using materials they created themselves, leading to inconsistent experiences from one training project to another.

The template is intended to provide a space for Learning Designers to record the findings from their needs analysis, as well as a slide deck to use when presenting during the Training Project Kick Off meeting with Senior Leaders (stakeholders), Subject Matter Experts (SMEs), and the Training team.

NOTE: This slide deck has been recreated from the version I created for Guild. As such, all Guild branding and proprietary information has been removed. The generic branding is meant to help viewers of the slide deck to envision a similar experience customized to your specific needs.

Needs Analysis

  • To begin, I gathered samples of the documents other Learning Designers from the team were using for the Project Kick Off meetings.

  • Next, I met with the senior leaders of the training department to identify their goals, needs, and wants. These meetings helped me identify an initial strategy and scope for the project.

  • Next, I met with the Learning Designers, Trainers, and Training Administrators to identify their goals, needs, and wants. These meetings helped me determine the specific needs of the end users.

  • Finally, I compiled my findings and met with the Training Leaders.

    During this meeting, I presented my findings and led a discussion on the strategy and approach I would be taking. Additionally, I worked with the team to create a RACI matrix for the project, established expectations, and identified next steps.

Template Design

  • I created the slide deck template using Microsoft PowerPoint.

  • I met with a peer Learning Designer to walk through the template. After the walkthrough, I asked the Learning Designer to provide feedback on the template.

    I then made the requested edits.

  • Once the final edits from the review was incorporated in the template, I shared the final template with the Training Leader Stakeholders for review, feedback, and approval.

Implementation Management

  • During a regularly scheduled Learning Design team meeting, I introduced the team to the template. I walked through how to use the template and provided details on how the template could drive consistency.

    At the end of the meeting, I asked the Learning Designers to begin using the template with their next projects, and to capture any feedback they had for future revisions.

    Finally, I informed the team that I would be available for their questions and support as they began using the template.

  • To conclude the implementation, I moved the source files for the project to our team shared drive, and ensured the other Learning Designers were notified of the location for future maintenance and edits of the template.

Evaluation

  • I gathered feedback from the Learning Designers after the team meeting in which I introduced the template. Their initial reactions were positive, and they were excited to begin using the template.

  • I made myself available to coach the Learning Designers as they began using the template.

    I received three questions via Slack on the process, each of which were posed due to unique circumstances and did not require edits to the template.

  • I gathered feedback from the Learning Designers after they used the template for at least one launch to determine if they were successful with using the template and identify any necessary changes.

    All Learning Designers were successfully using the new template.
